What You Need to Know.
Thank you for choosing Trek Safaris Uganda. Please read these Terms & Conditions carefully. By confirming your booking, you acknowledge that you have read, understood, and accepted them.

1 Bookings & Reservations
1.1 All bookings must be made by the client or authorized agent. By booking, the client confirms acceptance on behalf of themselves and all participants under their authority.
1.2 To confirm a safari, clients must provide full names (as in passport), nationality, passport numbers, and any special requests (medical, dietary, accessibility, etc.).
1.3 All packages are subject to availability and not guaranteed until confirmed. We recommend booking well in advance for high-demand safaris and gorilla permits.
1.4 Amendments to bookings will be accommodated where possible. Trek Safaris reserves the right to apply an amendment fee reflecting actual costs incurred.
1.5 Trek Safaris may vary itineraries, accommodation, or services due to unforeseen circumstances (e.g., weather, park conditions, road closures). Clients will be notified as soon as possible.
2. Pricing & Payment
2.1 Prices quoted include the services specified in the itinerary: accommodation, meals (where indicated), park fees, transport, and guides.
2.2 Expenses not included: international/domestic flights, visas, additional meals or drinks, tips, laundry, personal expenses, and optional activities.
2.3 Deposits & Payment Schedule:
2.4 Accepted payment methods: bank transfer, cash, or credit card (5% surcharge applies for cards).
2.5 Should the group number fall below the minimum number required for the booking as specified at the time of booking, The Company reserves the right to re-cost the safari and raise a surcharge. Should any clients/agents refuse to accept and pay such surcharge, The Company reserves the right to cancel the tour and retain full payment
2.6 Non – Participation
Should a client fail to join a tour, or fail to use any accommodation, excursion, or service booked by Trek Safaris Ltd for any reason, including delays of arrival flights within Uganda, no refund or liability will be accepted for the unused portion of the tour or services
3. CANCELLATION & REFUNDS
3.1 All cancellation requests must be made in writing to info@treksafarisug.com.
3.2 Cancellation charges (basic program rate):
3.3 Gorilla permits and air tickets are 100% non-refundable.
3.4 No refunds for unused services, late arrival, or no-show.
3.5 Refunds will be processed within 14 business days via the original payment method, unless otherwise requested.
3.6 Exceptional Refunds- Refunds may be considered only in the event of death or hospitalization of the client, upon submission of an original death certificate, or medical certificate with certified hospital records and an affidavit from the hospitalized party.
Note: This applies only to the affected individual, not to the entire group. Adequate travel insurance is strongly recommended to cover such situations as the primary claim.
3.7 Refunds (if applicable) will be processed within 14 business days via the original payment method.
4. INSURANCE
4.1 Cancellation, medical, and repatriation insurance is compulsory.
4.2 Clients are strongly advised to obtain comprehensive travel insurance covering medical emergencies, theft, and trip disruption.
4.3 Trek Safaris does not accept responsibility for losses covered by insurance; it is the client’s responsibility to ensure adequate coverage.
5. EXECUTION OF SAFARI
5.1 Trek Safaris strives to deliver all services efficiently but does not control third-party providers (hotels, lodges, airlines). The contract with these providers is separate.
5.2 Accommodation is typically twin/double rooms with private bathrooms where possible. Single rooms may incur additional charges.
5.3 Transport vehicles are selected based on group size and itinerary. Experienced English-speaking guides are in charge of driving and route decisions.
5.4 Trek Safaris Uganda Ltd may refuse participation to clients whose behavior endangers themselves, others, or property. No refunds will be issued in such cases.
5.5 Clients must follow all safety instructions and comply with guides, rangers, and hotel/resort management.
6. LIABILITY & INDEMNITY
6.1 Clients acknowledge participation in safaris involves risks, including wildlife encounters, road conditions, and outdoor activities.
6.2 By booking, clients waive rights against Trek Safaris Uganda Ltd for loss, injury, illness, or death, except in cases of proven negligence by Trek Safaris.
6.3 Any claim against Trek Safaris must be submitted in writing within 30 (thirty) days after the end of the tour, and only claims meeting this condition will be considered.
6.4 Clients agree to indemnify Trek Safaris Uganda Ltd against claims from third parties arising from their actions during the safari.
6.5 Trek Safaris Uganda Ltd is not liable for lost or damaged personal belongings; clients are advised to safeguard their possessions.
7. SPECIAL REQUESTS
Clients must specify any special requests in writing at the time of booking. Trek Safaris Uganda Ltd will use reasonable efforts to accommodate, but cannot guarantee fulfillment.
8. COMPLAINTS
8.1 Complaints should be reported immediately to the guide or Trek Safaris Uganda Ltd representative on-site.
8.2 Unresolved complaints must be submitted in writing to info@treksafarisug.com within 30 days of tour completion.
9. OVERNING LAWS & JURISDICTION
9.1 These Terms & Conditions are governed by Ugandan law.
9.2 Any disputes will be subject to the jurisdiction of the Ugandan courts.
9.3 Clients may be liable for legal fees on an attorney-and-own-client scale if Trek Safaris Uganda Ltd must enforce its rights.
10. AMENDMENTS
No amendment, cancellation, or waiver of these terms is valid unless in writing and signed by both Trek Safaris Uganda Ltd and the client.
